Why invoices go out late

The report is the last thing the field team touches, and the invoice is the first thing finance touches. If nothing connects them, a verbal handoff fills the gap.

Ideas to close the gap

  • Capture the PO number when the work request is created, not after the job.
  • Link each work request to its accepted quotation, so the amount is already known.
  • Treat report approval as the billing trigger.
  • Let finance review a draft rather than build an invoice from scratch.

How NDT Pilot handles it

When a report is approved, a draft invoice is created from the linked customer, PO, and quoted amount. Finance reviews it and issues it. The automation can be switched off in company settings.
