Preparing your inspection records for a new system

A good migration starts before any software is chosen. A practical preparation list.

Start with the registers

  • Customer list with one main contact email each
  • Sites and assets, with serial numbers where you have them
  • Technicians with methods, levels, schemes, and expiry dates
  • Equipment with serial numbers and calibration due dates
  • Current approved technique sheets and their revisions

Decide what not to migrate

Historic reports can often stay as archived PDFs, linked to the asset, rather than being rebuilt as structured records. Agree the cut-over date early.

Pilot before you switch

Run a handful of real jobs end to end with one crew before activating everyone. Fix templates and roles during the pilot, not after go-live.
